Setup, Margins & Page Layout Control

Everything about page structural layout lives on the Layout tab. Establish these parameters prior to writing.

Layout Configuration

  • Margins: Access Layout → Margins for standard presets, or select Custom Margins (1 inch / 2.54cm is standard).
  • Orientation & Paper Size: Toggle Portrait or Landscape via Layout → Orientation; ensure size matches regional printing defaults (Letter vs A4).
  • Ruler Guide: Enable View → Ruler to maintain visual feedback while setting tab stops and margin boundaries.
Tip: Establish margins and paper size right when you open a new document. Modifying them later can shift image alignments and table borders.

Paragraph Typography, Indents & Spacing

Avoid using spacebars or extra Enter key presses to create vertical distance. Paragraph settings preserve structural consistency across updates.

Paragraph Properties

  • Click the launcher arrow in the lower corner of the Paragraph panel on the Home tab to open detailed properties.
  • Line Spacing: Adjust line height within paragraphs — values between 1.15 and 1.5 optimize on-screen reading.
  • Space Before/After: Assign fixed pixel gaps between paragraphs to avoid manual double breaks.
  • Indentation: Configure First Line Indent or Left/Right block indents independently.
Tip: Enable non-printing characters using Show/Hide ¶ (Ctrl + Shift + 8) to highlight structural spacing errors.

Styles, Heading Hierarchy & Auto-Table of Contents

Using structural Heading styles enables automated outline building and table of contents generation.

Applying Document Styles

  • Apply Heading 1 from the Styles panel on the Home tab for main sections instead of applying bold formatting manually.
  • Use Heading 2 for sub-topics and Heading 3 for nested sub-points to form a document outline.
  • Enable the Navigation Pane (View → Navigation Pane) to view and rearrange document sections via drag-and-drop.

Generating an Automatic Table of Contents

  1. Position your cursor at the insertion point (typically directly following a cover page).
  2. Navigate to References → Table of Contents → select an Automatic Table design.
  3. Right-click the generated table and choose Update Field to refresh titles and page numbers after editing.
Tip: If an automated Table of Contents misses text or displays formatting errors, update the original heading style rather than editing the generated table directly.

Section Breaks & Independent Page Numbering

Unlike standard page breaks, a Section Break lets you apply independent page margins, orientations, and header/footer configurations across different chapters.

Section Break Configuration

  • Insert breaks via Layout → Breaks → Section Breaks → Next Page.
  • Open the new section header or footer and disable the Link to Previous setting before altering layout choices.
  • With unlinked footers, use Insert → Page Number → Format Page Numbers → Start at to restart numbering sequences at custom values.
Tip: Section breaks are designated by a double-dotted line on screen when Show/Hide ¶ is enabled.

Track Changes, Comments & Document Review

Collaborate across teams while tracking proposed edits, commentary, and markup inline.

Reviewing Tools

  • Enable Review → Track Changes (Ctrl + Shift + E) prior to modifying shared content.
  • Deletions show in strikethrough and insertions are underlined, with distinct colors assigned per collaborator.
  • Use New Comment to attach questions or discussion threads directly to selected text passages.
  • Process proposed edits via the Accept or Reject options in the Review toolbar.
Tip: Run File → Info → Check for Issues → Inspect Document to clear hidden markup or personal comments before publishing final copies.
